Getting started

How Privacyboard works

One set of facts about your company feeds every document. Learn the workspace model, document statuses and why changes flag documents instead of rewriting them silently.

Privacyboard keeps a single source of truth about your company and generates your documents from it. You answer each question once, and every document that needs the answer reads it from the same place.

#From facts to documents

  1. You fill in facts, or accept the suggestions Privacyboard makes from your website and tools.
  2. Each document shows a checklist of what is still missing. Each item opens the exact field.
  3. When the checklist is complete, you read the draft, edit it if needed and validate it.
  4. Validated documents can be downloaded or shown in your privacy center.

#Document statuses

A document is always in one of these states:

  • Draft. Written from your facts, not yet approved. Drafts are never public.
  • Validated. You approved this exact version. The validation date is recorded.
  • Changed since validation. You changed a fact after validating, for example added a vendor. The approved text is kept, and you are asked to review the update and validate again.

This is deliberate: the version you approved never changes silently, and a public page never shows text you did not approve.

#Suggestions are not facts

When Privacyboard prefills a value, for example a vendor's usual role or a typical retention period, it is marked as a suggestion. A suggestion becomes a fact only when you confirm it. No legal role is inferred for you.

#Free and Pro

Everything you need to prepare is free. Pro is required to make your privacy center public and to switch on the cookie banner. See Plans and pricing.

#FAQ

#What happens if I edit a fact after validating a document?

The document is marked as changed since validation. The approved version stays as it was until you review the update and validate again.

#Are suggestions applied automatically?

No. Suggestions are marked and need your confirmation.

#Can the same fact appear in several documents?

Yes. A vendor you add appears in the privacy policy, the vendor list, the data processing agreement and the privacy center, so they cannot contradict each other.
